Executive Admin / Assistant Accounts Manager
TOTAL Advertising is seeking a full-time, in-agency Executive Admin / Assistant Accounts Manager to support agency operations and provide direct executive assistance to the company president. This role supports active paid search, social media, SEO, website, and creative projects while working closely with Accounts, Creative, Search, Digital Marketing, and Social Media teams in a fast-paced agency environment.
Duties
Executive Assistance & General Administration

Provide direct executive assistance to the company president, including calendar management, meeting coordination, and scheduling

Prepare executive correspondence, presentations, reports, and internal communications

Serve as a professional point of contact for internal teams, clients, and partners

Handle confidential information with discretion and professionalism

Coordinate travel, meeting logistics, and executive follow-up

Support general office administration and special projects
Account, Project & Campaign Support

Support Accounts Managers with client communication and internal coordination

Assist with active client projects such as paid search and social campaigns, SEO reporting, website builds, creative production, and social media content execution

Coordinate timelines, deliverables, approvals, and internal workflows using project management tools such as Trello

Work closely with Creative, Search, Digital Marketing, and Social Media teams to support timely execution
Campaign Analytics & Reporting Support

Assist with campaign analytics and performance reporting across digital, search, and social media channels

Collect and organize data from analytics, advertising, and social media platforms

Prepare and format routine reports and summaries

Ensure accuracy and consistency across reporting deliverables

Skills / Qualifications

Bachelor’s degree preferred

Experience in executive assistance, administrative support, account coordination, or marketing-related roles preferred

Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)

Experience using project management tools such as Trello

Strong professional written and verbal communication skills

Excellent organizational skills and attention to detail

Comfortable working in a fast-paced, collaborative agency environment
